Catering an Event

Planning Your Event

  1. Call the University of Southern Indiana scheduling office at 812/465-7080 to reserve a room. Confirmation of room availability is necessary before food service plans are possible.
  2. Contact Sodexho Dining Services at 812/465-1652 to discuss your menu needs. We can provide a wide variety of services from informal coffee breaks and lunches to formal receptions and dinners.
  3. Plan the menu with the Dining Services at least three weeks prior to your event. Special arrangements should be discussed at this time. Menu selections are available on this Web site or can be faxed or mailed to you directly. Appointments can be arranged to confirm the details for your function.
  4. Provide a guaranteed number of guests three working days prior to your function.
  5. Payment may be made by check payable to Sodexho, cash, or with Visa or Master Card. An advanced deposit equal to 80 percent of the estimated bill is required ten working days prior to the event. The remaining balance will be due the day of the event. When applicable, a tax-exempt number is required at the time of the booking. For University departments with a direct billing account number, the correct account number needs to be provided upon booking the event.

Guaranteeing Your Event
Sodexo Dining Services requires a guarantee of the number of people attending all food functions SEVENTY-TWO (72) hours or THREE (3) working days prior to the event.  The guarantee is the minimum number billed.  Should the attendance exceed the guarantee, the bill will reflect the actual number of guests served.  Guarantees should reflect the expected number of guests as accurately as possible.  Should unexpected guests attend, all efforts will be made to accommodate them.

Canceling Your Event
In the event of a cancellation, notification is required a minimum of FIVE (5) working days prior to the event. If cancellations are made after this period, any expenses incurred by catering will be billed.

Linen Service
A table cloth and napkins are provided for each table during served or buffet meals. Table skirting is provided for all buffet tables. Breaks and receptions come with a clothed and skirted food table only. All other linens (overlays, chair covers, and extra napkins in center of table) can be provided at an additional charge. Examples of times you would need to purchase additional linen and skirting would include: A clothed and/or skirted registration or display table, cloths for round tables (rounds clothed for breaks, continental breakfasts, or receptions). Be sure to mention your set-up preferences so you receive the proper type and style of table coverings.

Special Meals
We will accommodate special diets (medical diets, vegetarian, or vegan meals) with advance notice. Notice must be given at least THREE (3) days prior to your event.

Alcohol
Permission for use of alcohol must be granted by the University. Call the scheduling office at 812/465-7080. There must be food accompanying any alcohol served.

Removal of Food
Due to Health Department recommendations and in maintenance of safe food handling requirements, Sodexo Catering Policy prohibits the removal of prepared food items not consumed during the event.

Sales Tax And Gratuities
Prices quoted in the catering menu are exclusive of sales tax. Gratuities are not included and are left to your discretion.

Pick up and Delivery
Delivery of food and beverage items outside the University Center can be provided to campus locations. There is a $13.00 fee for deliveries on campus, a $35.00 fee for deliveries off-campus plus a $.047 per mile charge, and a $15.00 per hour per employee delivery charge.
