Annual Membership Meeting 2009

Historic Southern Indiana hosts an Annual Membership Meeting, to which all of its Members and Friends will be invited. This is a wonderful opportunity to catch up on what is going on in the region and to link up with old friends and to make new ones.

Since 2004, Historic Southern Indiana has invited communities to submit proposals to host the meeting. The annual meeting is primarily a social event in which business and/or informational activities may occur. This will give your town the opportunity to highlight recent achievements and to unveil plans for activities relating to the mission of Historic Southern Indiana. Sites of previous Annual Meetings: Jasper (Schnitzelbank Restaurant), Corydon (Magdalena's Restaurant and the Corydon Capitol SHS in 2003 and the Leora Brown School in 2007), Vincennes (Francis Vigo/DAR Chapter House),Vevay (Schenck Mansion B&B), and Evansville (Angel Mounds State Historic Site).

Typically these meetings have occurred between the late afternoon and early evening--i.e., 5:00 p.m. - 7:00 p.m.  The Annual Membership Meeting is to be held on a weekday, preferably mid-week, after Labor Day and before Thanksgiving.

The host will meet the following minimum requirements:

1. Facility The host group must be able to accommodate seating for at least 100 people indoors. Food service approved by the Historic Southern Indiana staff must be provided. Previous events have included a buffet of "heavy hors d' oeuvres."
2. Program During the social event, the host organization may conduct an informational program with a speaker, entertainment, and/or another form of activity approved by the Historic Southern Indiana board. Historic Southern Indiana may also wish to have a brief business meeting or informational activity.
3. Promotion of the event Details of the event must be provided to Historic Southern Indiana staff at least 6 weeks prior to the event. If the host proposes to provide all publicity, it must be first approved by the Historic Southern Indiana staff. Approved promotional material must be circulated at least 30 days prior to the event. Correspondence must be maintained with Historic Southern Indiana staff for the purpose of updates as the expected attendance.
4. Supplemental equipment The Historic Southern Indiana Board may choose to conduct a presentation using a slide or video presentation or a power point program. The facility must have available power.
5. Financial responsibility Historic Southern Indiana will pay the host organization up to $1,000.00 for entertainment expenses (food, primarily, but not alcoholic beverages) of the Annual Membership Meeting. Any cost incurred beyond $1,000.00 will be the full responsibility of the host. Arrangement for the serving of alcoholic beverages is the responsibility of the host, and evidence of an appropriate license for providing a cash bar is required. Historic Southern Indiana will be responsible for printing and postage expenses.

Applications are due in the Historic Southern Indiana office by July 1, 2009. Applicants will be notified of the decision by July 17, 2009.

Selection of the Annual Meeting date will be made by the host community and the Historic Southern Indiana office by August 3, 2009.
