Interlibrary Loan FAQ's

 

What is Interlibrary Loan (ILL)?

• Interlibrary Loan (ILL) is a service provided to USI students, faculty and staff that provides access to materials not available at Rice Library.

• The ILL unit routinely borrows books, journal and newspaper articles, book chapters, dissertations, and other desired items from libraries in Indiana, the U.S., and elsewhere.

• All patrons wishing to request an item through ILL must do so through "ILLiad," found on the Rice Library web site.

• Users may create an ILLiad account using their MyUSI username and password.

• Only items not currently owned by Rice Library should be ordered through ILL.

 

What is ILLiad?

• ILLiad is the online system you use to request an item through Interlibrary Loan.

• The name ILLiad is an acronym for InterLibrary Loan Internet Accessible Database.

 

How do I submit an ILL request?

• Verify that Rice Library does not own the item and that you have no overdue items or fines.

• Create your personal ILLiad account at http://lib-illiad.usi.edu/iliad/logon.html, using your MyUSI username and password.

• Submit ILL requests, using the request forms within your ILLiad account.

• Your request will be submitted to ILL staff, and processed within 3 working days.

• A message will be sent to your USI email account when the item arrives. In the meantime, you may track its status in your ILLiad account.

 

How do I find out if Rice Library owns something?

• For books and videos, search the Online Catalog.

• For journals, magazines, and newspapers, check the "Journal Finder" database.

 

How long does it take to receive an ILL?

• Generally, print items take 3-21 days, articles take 3-5 days.

• Arrival time varies depending on item availability, location, and shipping method.

• Planning ahead is essential!

 

How much does ILL cost?

• There is no processing fee for each request, but in the event that a lending library does impose a lending or copyright charge, students and faculty will be asked to pay that charge before the request is processed.

 

How many items can I request?

• 75/academic year (fall, spring, summer).

• Requests in excess of the yearly limit will be assessed a $5.00 processing fee, required before the request will be filled. This is in addition to any lending/copyright fees assessed, as mentioned above.

 

How will I know when my request has arrived?

• You will be notified via your USI email account.

• Faculty, staff, and students must present a USI Eagle Access card at the checkout counter to check out ILL books and audiovisual material items. Items must be picked up at the Checkout desk within 14 days, at which time they are returned to the lending library.

• Electronic journal articles or scanned book chapters will arrive electronically via USI email. Exception: Copies received through traditional mail for faculty and staff members are sent through campus mail to your USI office.

 

How long can I keep ILLs?

• Loan periods are generally 2-4 weeks, but are decided by the lending library. Copies are yours to keep. Electronic articles are available for 5 viewings or 30 days, whichever comes first. Please print or save your copies. Once your copy expires, we will be unable to supply another.

 

Can I renew ILL items? (Important!) See also "Renewals" for more details.

• The lending library determines renewals. To find out if you can renew an ILL book:

• 1. Log in to your ILLiad account and click on "Checked out items."

• 2. Click on the book's transaction #, and then on "Renew request."

• 3. You will immediately receive a yes/no answer, based upon whether the lending library grants renewals.

• 4. If the answer is "yes," make note of the new due date. If the answer is "no," return the ILL book by its due date.

• 5. Note: Lending libraries sometimes cancel a renewal, after initially granting it. You will be contacted via your USI email account if this happens.

 

What is the ILL overdue policy?

• Having overdue ILL books will incur fines and block your ILL and Rice Library privileges.

• Overdue ILL notices are sent by email every Wednesday. Before the item is overdue, patrons receive a courtesy notice indicating its upcoming due date.

• The first overdue notice is sent when the item is 1-7 days overdue, and the second notice is sent when the item is 8-14 days overdue. At this point, a non-refundable $20.00 processing fee per overdue item is also added to the patron's library account.

• Patron receives a letter containing the notice of fines/fees.

• All of the patron's Rice Library privileges are blocked until the ILL item is returned or replaced and all associated fees cleared.

• In addition, the patron's Banner account is blocked, denying registration privileges until the matter is resolved.

• If the patron does not return the item, the replacement fee is added to their library account, and subsequently receives another notice of fines/fees.

Are there any special points and exceptions of which I should be aware?

• ILL requests for USI textbooks are not processed.

• Providing complete, correct citations will speed your request, especially if you include the ISBN, ISSN, or OCLC number.

• Requests from patrons who have overdue items and/or fines $5 or higher will not be processed.

• Note: ILL service is not extended to courtesy card holders or USI alumni; they should request ILL service through their local library.

What if I forget my password?

• ILLiad authenticates users by using MyUSI credentials. If you forget your MyUSI password, contact the Computer Center helpdesk in person with a photo ID or call the helpdesk(812/465-1070). For more information go to: www.usi.edu/reg/transcript_pin.asp.
