Facility Reservation Policies & Procedures

The University of Southern Indiana recognizes its obligation as a public institution to provide services and facilities to community, regional and other non-university groups or individuals. Within a specified timeframe, groups or individuals not affiliated with the University are welcome to reserve indoor or outdoor campus facilities not previously reserved by a group within the University community.

The University Center has been designed to support the programs, events, meetings and conferences of students, faculty, staff, alumni and guests of the University. As a focal point for University events, the University Center’s central purpose and primary goal is to serve the needs of the students; however, all members of the University community and non-University groups and individuals have the opportunity to use the facilities.

The University has established policies and procedures for utilization of its resources, facilities, and services:

  • Reservations for space by off-campus groups or individuals will not be accepted for profit-making activities or for other activities that do not support the mission and purpose of the University of Southern Indiana.
  • Use of the space for purposes other than that for which it has been designated is not permitted. Space will be reserved or rented to any individual, group or organization with University programs.
  • Users who misrepresent an event or affiliation in order to avoid fees, charges or compliance with the general policies of the University Center or other buildings on campus may be subject to suspension of reservation privileges and may incur charges related to the space reservation or services rendered.
  • Individuals and/or groups will be responsible for the behavior of their guests and/or members of their organizations in attendance at the scheduled function.
  • Individuals and/or groups will be charged for repair, replacement or cleaning required as a result of damages to the facilities, equipment, or inadequate clean up after the event.
  • The University reserves the right to refuse a request for the use of University facilities; the reason for denial of the reservation will be explained.
  • The University maintains and enforces a smoke-free building environment.
  • Your meeting planner will provide specific policy and procedure statements for the building pertinent to each reservation.

Because there is considerable demand for event space in University facilities, please notify Scheduling Services (812/465-7080) or your meeting planner as soon as an event has been cancelled so that the space may be returned to facility management inventory and made available to be reserved by another group. Groups that reserve space but fail to cancel the reservation are considered “no shows” and are subject to cancellation charges. Summer camps and conferences will be subject to cancellation charges pursuant to their executed agreement with the University.
