
On the Road Again...
Most of USI's student organizations plan trips throughout the year for a
variety of different reasons. Retreats, conferences, hayrides, sports
tournaments, and
visits to local museums and other sites are just a few of the many trips that
our groups take. However, the
University has specific guidelines for organization travel, so below are the
important points your group needs to remember when planning a trip.
Travel
Authorizations
When a group is traveling or a member of the group is traveling on the group's
behalf, the organization should complete a travel
authorization form. This form basically lets the University
know when and where your group is going in case of an emergency. This
form is also needed if your group approves for you to be reimbursed for some expenses like food and gas.
Renting University Vehicles
Don't run up the miles on your car if your group is planning a long
trip. Rent a car or van from USI instead. Simply complete the Vehicle
Request Form. You'll need an agency account and your fiscal
agent's e-mail address (this is usually your campus advisor). If you don't
have an agency account, go to the section of this site on Financial
Management.
Need Money for Travel?
Many groups take advantage of the SGA
Travel Grant to get extra funding for their trips. SGA may not be
able to fund the whole trip, though, so look into some fundraising ideas as
well.
