Section 1.01. Name. The name of the organization shall be known as the University of Southern Indiana Parents & Families Association. (Hereinafter referred to as “Association” or “USI Parents & Families Association.”) The USI Parents & Families Association is jointly sponsored by the University’s Office of Alumni & Volunteer Services, Office of Student Development Programs, and the USI Foundation.
Section 1.02. Purposes. The USI Parents & Families Association is designed to strengthen the relationship between parents, family members, guardians of USI students, and the University of Southern Indiana (USI).The purposes of the USI Parents & Families Association are:
- To improve communication and cooperation between families and the University.
- To serve as a resource group for parents and families.
- To support the University’s mission and goals.
- To recognize parents and families as a valuable resource group and invite them to contribute to the welfare of USI.
Section 1.03. Membership. Membership shall be open to past and present parents, family members, and guardians of USI students. Members who contribute at least $25 annually (individual or per couple) to the Parents & Families Association fund in the USI Foundation are “active members” and will be recognized as such. Only Active Members shall be eligible to serve on the Parents & Families Council or hold office.
Section 2.01. Membership. The Association shall be governed by the Parents & Families Council. (Hereinafter referred to as “Council” or “Parents & Families Council.”) The Council shall be composed of nine (9) past or present parents, family members, or guardians of USI students. The Assistant Director of Alumni & Volunteer Services shall serve as the Chief Operating Officer and shall not be entitled to vote.
Section 2.02. Duties. The duties of the Parents & Families Council shall be:
- To conduct the business of the Association, establish goals, and further the development of the Association.
- To elect officers of the USI Parents & Families Association from the active
membership of the Association.
- To adopt Bylaws governing the Association.
Section 2.03. Regular Meetings. The Parents & Families Council shall meet quarterly for the purpose of implementing Association activities and programs. Council members shall be notified at least five (5) days prior to any such meeting.
Section 2.04. Annual Meetings. The Annual Meeting of the Council shall be held in March of each year. Notice of the time and place of the Annual Meeting shall be given to each member not less than five (5) days before the Annual Meeting.
Section 2.05. Special Meetings. A special meeting may be called at any time by the Council President, Advisory Members, or Executive Committee. The President or Executive Committee decides the exact time and place of the meeting and sends notice to Council members no less than two (2) days prior to the date of the meeting.
Section 2.06. Quorum. At any meeting of the Parents & Families Council, one-third (1/3) of the members shall be necessary to constitute a quorum for the transaction of business.
Section 2.07. Election and Term. Members are elected to the Parents & Families Council for terms of two (2) years. No member shall serve more than two (2) consecutive terms. Newly elected members shall take office July 1.
Section 2.08. Vacancies. In the event a member resigns or for any reason becomes unable to serve, the position shall be filled at any meeting by the Parents & Families Council. Any person so elected shall serve for the remainder of the unexpired term.
Section 2.09. Advisory Members. The Advisory Members of the Parents & Families Council shall be the Vice President for Advancement, Vice President for Student Affairs, President of USI Foundation, Director of Alumni & Volunteer Services, and Director of Student Development Programs. The Advisory Members shall not be entitled to a vote.
Section 3.01. Number and Qualifications. The Officers of the Parents & Families Council shall be President, President Elect, and Secretary.
Section 3.02. Duties. The duties of the Officers of the Parents & Families Council shall include:
- President. The President shall preside at Council meetings, represent the Association at public events, and perform all other duties inherent to the office.
- President Elect. The President Elect shall assist the president with his/her duties and serve as President in the President’s absence.
- Secretary. The Secretary shall be responsible for recording and preserving the minutes of all Council meetings.
Section 3.03. Election and Term. The Officers shall be elected at the Annual Meeting of the Council for a single term of one (1) year or until their successors shall have been elected and qualified. No Officer shall serve more than one (1) term in any one office. Newly elected officers shall take office July 1.
Section 3.04. Vacancies. In the event an Officer resigns or for any reason becomes unable to serve, the position shall be filled by the Parents & Families Council. Any Officer so elected shall hold office until the last day of June and until a successor shall be duly elected and qualified.
Section 4.01. Executive Committee. The Executive Committee shall be the Officers of the Parents & Families Council and shall act on behalf of the Council between meetings.
Section 4.02. Special Committees. There may be any number of special committees representing activities of the Association. Committees of the Council may be appointed and meet as needed.
Section 5.01. Fiscal Year. The fiscal year of the USI Parents & Families Association shall begin the first day of July of each year and end upon the 30th day of June of the next year.
Section 6.01. Amendment to Bylaws. The Bylaws may be amended by a simple majority of those attending any regular meeting of the Parents & Families Council provided that the proposed amendment(s) shall have been distributed to the membership of the Council at least five (5) days prior to consideration.
Section 6.02. Parliamentary Procedure. Robert’s Rules of Order Newly Revised shall be the parliamentary authority for all matters of procedure not specifically covered by the Bylaws.
