2018 Fall Closing Information

Winter Break: December 12, 2018-January 3, 2019

Housing and Residence Life closes to residents at 6 p.m. on Wednesday, December 12. Residents who have not received approval to stay late or stay during winter break must leave 24 hours after their last final or by 6 p.m. on December 12, whichever comes first.

WEDNESDAY FINALS
If you have a final on Wednesday, December 12, that starts at noon or after, you can wait to leave for winter break by noon on Thursday, December 13. However, you must submit the online stay late request form.


RETURNING STUDENTS
Students who are living in housing in fall 2018 and are returning for spring 2019, do not need to move their belongings; they only need to leave by 6 p.m. on December 12 and may return on or after January 4, 2019. It is recommended that residents not leave valuables in their apartments or residence halls during winter break. 

IMPORTANT: The USI campus including the Housing and Residence Life office will be closed (December 22, 2018 through January 1, 2019) and there will be limited University staff available.

NOTE: Residents with permanent residences in Vanderburgh, Warrick, Posey, Gibson, Henderson (KY), White (IL), or Gallatin (IL) counties are not eligible to stay after the December 12 deadline.

Q: Can I stay on campus during winter break?
A: The last day of the fall semester is Wednesday, December 12 at 6 p.m.  Students wishing to stay any day(s) during the winter break period must pay a $150 fee, sign up by December 7 and provide a compelling reason for needing to remain in housing during the break period. Please be very specific with your reason for needing to stay during winter break.  Approvals have included requests such as involvement in University sponsored events, international residency, etc. Note that this is merely a request and is subject to approval. You will be notified via email of your request status by HRL staff.

Last day to sign up without a $50 fee is December 7. Students discovered living on campus without approval may face disciplinary action along with an additional $300 fine.

Q: What if I need to just stay late?
A: The last day of the fall semester is Wednesday, December 12 at 6 p.m.  Please be very specific in your reason why you need to stay beyond December 12 at 6 p.m. If you need to stay late due to a Wednesday final, please include the class number, name and time of final scheduled for Wednesday, December 12. Note that this is merely a request and is subject to approval. 

There is no charge to stay late.  However, if you need to stay after Sunday, December 16, then you must complete a request to stay during winter break and pay the $150 fee. Students discovered living on campus without approval may face disciplinary action along with an additional $300 fine.

Q: What if I need to return early for the spring 2019 semester?
A: Early arrival is January 2-3, 2019. Requests should be submitted by Wednesday, January 2 to . Please note that this is subject to approval by Housing and Residence Life staff. There is no charge to return early.  However, if you need to return prior to January 2, then you must complete a request to stay during winter break and pay the $150 fee. You will be notified via email of your request status by HRL staff. Students discovered living on campus without approval may face disciplinary action along with an additional $300 fine.

Q: What do I need to know about winter break?
A: RAs will be conducting room inspections to ensure all residents have left housing. Students who are discovered living on campus without approval may face disciplinary action along with an additional $300 fine.

USI staff will be conducting room inspections during winter break checking thermostats, weather radios, smoke detectors and fire extinguishers. Room inspections will take place December 12-21 and January 2-4. Any resident violating a Housing and Residence Life  policy could face disciplinary procedures and have their stay late, stay over or early arrival request revoked.

Q: Do returning residents need to do anything?
A: All residents must do the following prior to December 12:

  • Clean their apartment/suite thoroughly
  • Unplug all electrical items except University-provided appliances
  • Remove any belongings from a vacant spot in the apartment/suite so that new residents can move in for the spring semester
  • Turn heater to LOW or 65 degrees
  • Remove all trash and perishable food items from cabinets and refrigerators

Q: What happens to my mail during break?
A: Resident mail will be held December 22, 2018 through January 1, 2019. 

For residents not returning to housing for spring 2019, Housing and Residence Life will not hold or forward mail/packages. The USPS considers a campus address as temporary and will not forward mail. Residents will need to notify family, friends and businesses of their address change.

Q: What if I'm not returning to housing for spring 2019?
A: Residents not returning to housing in the spring must complete a contract cancellation form.  In addition, students must check out of Housing by 6 p.m. on December 12. Check out extensions will be considered for any student who provides a compelling reason  for a late check out.

The following procedures must be followed to avoid the $200 improper check out charge:

  • Remove all your belongings (including trash)
  • Sweep and mop/vacuum all floors.
  • Dust all counters and drawers.
  • Clean and sanitize the kitchen, bathrooms, refrigerator, and stove.
  • Clean bathroom, tub, toilet, sink, and mirrors.
  • Check out with your RA.  If you cannot find your RA, return your key to the Housing and Residence Life office.

Failure to properly check out will result in an improper check out charge of $200. This charge is in addition to any damage charges, losses, cleaning charges, or room/board assessment. Failure to return your key will result in an improper check out charge, as well as a $60 lock change fee.
