Allowable Hospitality Expenses:

✅Student orientation programs

✅Student recruitment events

✅New student welcome activities

✅Student leadership development programs

✅Student success and retention initiatives

✅Student organization events

✅Academic competitions involving students

✅Student recognition and awards programs

✅Career success and internship preparation activities

✅Student-focused open houses and admissions events

✅Accreditation Visits

✅Candidate Meals

✅Events where the price of admission includes a factor for hospitality

✅Board of Trustees official business

✅President Office official business

✅Official University-wide functions such as annual University Fall Meeting, Spring Meeting, Employee Recognition Luncheon, and similar events open to all University Employees

Unallowable Hospitality Expenses:

❌Meals or refreshments for employees unless specifically allowed under hospitality policy

❌Alcoholic beverages

❌Entertainment of elected officials or government employees who are not guests at a University-wide event

❌Staff meetings, office parties (e.g. birthdays, holidays, employee celebrations), and social gatherings

❌Common area hospitality (e.g. complimentary coffee, water dispensers, beverages, snacks, or candy) except for the following offices when hosting external visitors:  President’s Office, Undergraduate Admissions, Graduate Studies, and Development

❌Meals for the convenience of employees (i.e. providing lunch to employees during workday since employees would incur a personal expense for lunch regardless of employment)

❌ University funds may not be used for hospitality related to donor recognition or USI Foundation fundraising activities
