Transition from Monthly to Biweekly Pay

All faculty and administrators will move from 10 - or 12- month pay periods to either 20 or 26 biweekly pay periods beginning of the 2025-26 appointment period. 

As a 9-month faculty member with appointment dates from August 12, 2025, to May 8, 2026, you have two pay distribution options:

  1. 20 Biweekly Pays
    • Your pay period will span the appointment period only.
    • Biweekly pay dates will run August 22, 2025, through May 15, 2026.
  2. 26 Biweekly Pays (Deferred Pay)
    • Your pay will be distributed over an extended period to include the summer months.
    • Biweekly pay dates will run August 22, 2025, through August 7, 2026.

    Action Required:

    Per IRS guidelines, all faculty must complete and return the new Salary Payment Option form by August 11, 2025, at least one day before your fall assignment begins.

    If the Salary Payment Option form is not submitted by August 11, you will automatically be defaulted to the 20 biweekly pay option for the 2025-26 academic year.

     To access the Salary Payment Option form, click the hyperlinks provided in the message. Please:

    1. Complete the top section with your name, employee ID (Banner ID) and department.
    2. Select your pay option.
    3. Sign at the bottom.

    The form may be completed electronically or printed and filled our manually. If signing electronically, ensure you:

    1. Click the bottom link titled ‘Click to Sign.’
    2. Enter your email and click ‘Click to Sign.’
    3. You will receive an email in your inbox. Please confirm your email. A new screen will pop up with the following confirmation. Please ensure you receive this confirmation.
    4. You will receive an email with a copy of the completed Salary Payment Option Form, serving as additional confirmation that the form was successfully submitted to Payroll.

    Additional Reminders:

        • If you have a flat dollar amount deducted with your federal or state taxes, consider whether or not you should complete a new form, as the flat dollar amount is based on a per period amount.
        • Similarly, if you have direct deposit(s) set to flat dollar amounts, you may want to review and adjust these amounts, as they are also per-pay-period amounts.
        • Please monitor your University email this summer for further updates from Human Resources regarding this transition. Communication will continue to be distributed via email throughout the process.
