Transition from Monthly to Biweekly Pay
All faculty and administrators will move from 10 - or 12- month pay periods to either 20 or 26 biweekly pay periods beginning of the 2025-26 appointment period.
As a 9-month faculty member with appointment dates from August 12, 2025, to May 8, 2026, you have two pay distribution options:
- 20 Biweekly Pays
- Your pay period will span the appointment period only.
- Biweekly pay dates will run August 22, 2025, through May 15, 2026.
- 26 Biweekly Pays (Deferred Pay)
- Your pay will be distributed over an extended period to include the summer months.
- Biweekly pay dates will run August 22, 2025, through August 7, 2026.
Action Required:
Per IRS guidelines, all faculty must complete and return the new Salary Payment Option form by August 11, 2025, at least one day before your fall assignment begins.
If the Salary Payment Option form is not submitted by August 11, you will automatically be defaulted to the 20 biweekly pay option for the 2025-26 academic year.
To access the Salary Payment Option form, click the hyperlinks provided in the message. Please:
- Complete the top section with your name, employee ID (Banner ID) and department.
- Select your pay option.
- Sign at the bottom.
The form may be completed electronically or printed and filled our manually. If signing electronically, ensure you:
- Click the bottom link titled ‘Click to Sign.’
- Enter your email and click ‘Click to Sign.’
- You will receive an email in your inbox. Please confirm your email. A new screen will pop up with the following confirmation. Please ensure you receive this confirmation.
- You will receive an email with a copy of the completed Salary Payment Option Form, serving as additional confirmation that the form was successfully submitted to Payroll.

- If you have a flat dollar amount deducted with your federal or state taxes, consider whether or not you should complete a new form, as the flat dollar amount is based on a per period amount.
- Similarly, if you have direct deposit(s) set to flat dollar amounts, you may want to review and adjust these amounts, as they are also per-pay-period amounts.
- Please monitor your University email this summer for further updates from Human Resources regarding this transition. Communication will continue to be distributed via email throughout the process.

FAQs
The transition from a monthly pay schedule to a biweekly pay for 9-month faculty and administrators begin with your fall 2025 appointment.
As part of this transition, as a 9-month faculty or administrator you will receive your final monthly pay as follows:
If you do NOT defer pay – You are paid over 10 months, and your final monthly paycheck will be issued June 30, 2025.
If you defer pay – You are paid over 12 months, and your final monthly paycheck will be issued August 8, 2025 (this would normally be paid on the last working day in August).

No, there is not an opt-out option. All 9- and 10-month faculty and administrators will be transitioned to the biweekly payroll starting in August 2025.
All Medical, Dental, Vision, Flexible Spending Accounts (both Medical and Dependent care) (FSA), Health Savings Accounts (HSA), Voluntarily Hospital Indemnity, Voluntary Accident Critical Illness, Voluntary Life Insurance and Disability deductions will automatically recalculate to biweekly pay rates.
Starting August 2025, deductions for benefit premiums listed above will be taken from the first two biweekly pays each month. In months with three pay dates, benefit deductions will not be taken from the third pay.
Prior to August 11, you will need to review your personal selections on deposits, auto payments, and billing cycles such as the setup on the following items:
- Review your Personal Budgets -Being paid biweekly will look and feel different at first. Learn how to transition your budget from a monthly basis to a biweekly basis. Use the Excel spreadsheet to see your cashflow calculate your biweekly pay.
- Direct Deposit Allocation– If you currently deposit $1,000 to a savings account monthly, you may want to consider changing it to $460 biweekly ($1,000 per pay x 12 monthly pays per year = $12,000 / 26 biweekly pays = $461.54). Direct deposit forms are available on the Payroll website. Please do not email this form. There is personal, confidential information on this form.
- 529 Plan contributions – If you contribute to a 529 plan, remember it is a direct deposit, and you will want to review and consider changing that auto . Contact Payroll at payroll@usi.edu or 812-464-1815.
- Automatic bill payments or transfers - Do you currently have any automatic payments schedules to come out of your accounts? Do any of the dates need to change?
- Federal and State Taxes – Federal and state taxes are withheld from every pay. If you currently have “additional withholdings” for federal and/or state taxes set up, do you need to adjust the additional amount? If you are unsure of your federal withholding, you can check your on Self Service Banner (myUSI). If you wish to change your or WH4 information, please print and complete a new form and drop it by Human Resources in the Wright Administration Building, Room 166.
- Fixed Dollar Payroll Deductions –Some payroll deductions, such as athletic tickets, are withheld each pay. These deductions will be doubled with the transition to biweekly pay unless you take action with the appropriate department. (for athletic tickets, please contact Blake Bruner)
Health insurance is paid for in the month of coverage. If we split to 26 pays versus 24 pays, there would be manual calculations to be done on the front end and the back end of employment. It is cleaner to take a monthly premium and cut in half.
Yes. A new AdobeSign version of the Salary Payment Option Form must be completed prior to the start of your appointment start date.

TIAA employee contributions are percentage based, so you do not need to convert to a biweekly amount, unless you want to change your contributions.
You can check your federal and state withholding on MyUSI self-service tab under the Taxes section, it is listed on the left-hand side of the screen or by calling 812-464-1988 or emailing payroll usi.payroll@usi.edu.

Stipends for 9- month faculty and administrators will be paid on the monthly pay cycle through July. Beginning August 1, stipends will be paid on the biweekly pay schedule.
New 9-month faculty will receive their first pay on August 22.
If you are teaching summer, your summer pay will be paid according to what term the work is being performed. Summer 1 pay date is 6/27/25; Summer 2 pay date is 8/7/25. If your class extends beyond 8/1 (the end of Second Summer), you will also receive a pay on August 22.
Fall 2025 overloads will be paid on the biweekly cycle.
